P/00 · How we work · Melbourne

From a first call, to a system you’ll enjoy living with.

Premium heating and cooling work is mostly invisible by the time it’s finished — but the process behind it isn’t accidental. Here’s how Smart Climate moves from a first conversation to handover, with no pressure and no shortcuts.

Our process · in five steps

Five steps. One standard. From first call to ongoing care.

Every project — split-system replacement, ducted retrofit, hydronic new build — runs through the same five stages. The timelines change with the scope. The discipline doesn’t.

1

Initial conversation

Where every project starts — a real conversation, not a sales call.

You call us, email us, or send a message through the website. We listen. We ask what you’re thinking about, what your home is like, and what’s prompted the enquiry — a replacement, a renovation, a new build, or a system that’s never been quite right.

No high-pressure call-back to “send a salesperson tomorrow.” Just a real conversation to understand whether we’re the right fit for the project, and you for us.

Site consultation

The visit that shapes the entire project.

We come to your home and properly look at it. We measure rooms, check ceiling space and roof cavity access, look at how each space is used, assess existing services and ductwork, and ask the questions that determine which system will actually work — not just which one fits the brochure.

For new builds and major renovations, we visit on site with your architect or builder when that’s useful, and read the plans before we arrive. This is where good specification starts. Bad specification starts when this step gets rushed.

Specification & written quote

A proposal you can actually evaluate.

Within a week of the consultation, you receive a written proposal that spells out what we’d recommend and why. System type, brand, capacity, zoning approach, installation method, expected timelines, and itemised pricing.

Where there are real choices to make — gas boiler versus heat pump, AirTouch versus MyAir, slimline grilles versus standard — we’ll present the options with the trade-offs, not just one bundled figure. If we’re recommending against something you’ve asked about, we’ll explain why.

Installation

The job done properly.

Once you’ve signed off, we schedule the work and get going. You have one point of contact for the duration of the project — not a different person every call. Licensed gasfitters, qualified technicians, and trade coordination with your builder where relevant.

Job sites cleaned daily. Drop sheets used as a default, not when remembered. Communicated timelines — and we tell you straight away if something changes. For new builds we work to the construction programme; for replacements, to a timeline that respects your home and your time.

Handover & ongoing care

The system, and how to live with it.

Once the install is complete, we commission the system properly — gas leak testing, combustion analysis (where applicable), system balancing, controller pairing, app setup. Then we walk you through how to operate it: not handed a manual at the door, but a proper run-through of the controller, the zoning logic, the seasonal considerations, and what to expect in the first weeks.

After handover, we stay in touch. Annual servicing is recommended for warranty conditions and long-term performance, and we offer service plans for ongoing care. If something needs attention, you’re calling the team that installed it — not a stranger working from a job sheet.

What’s different about working with us

The process is the product. Here’s what we do differently.

The equipment we install is broadly the same as what good installers across Melbourne offer. The difference is in how we work — and the four habits below are the ones our clients notice most.

i.

One point of contact, start to finish

The person who quotes the job is across the install. You’re never re-explaining your project to a stranger halfway through.

Typical industry
Different person every call
ii.

No artificial quote deadlines

Our quotes don’t expire on Friday. We’d rather you take a week to think than rush a six-figure decision because of a sales tactic.

Typical industry
“Valid until end of week”
iii.

Recommendations against things, too

If a system you’ve asked about isn’t right for your home, we say so — and explain why. Honest no’s are how we earn yes’s.

Typical industry
Sells what was asked for
iv.

We specify before we sell

A 90-minute site visit before any quote. Sizing, zoning, line runs, acoustics — worked out properly, in your home, not in a spreadsheet.

Typical industry
Quote-by-phone or 20-min visit

Common questions about working with us

The things everyone asks at first contact.

If your question isn’t here, call us on 1800 577 522 — we’d rather have a five-minute conversation than send you a brochure.

60–90 minutes for most residential projects. Larger homes and complex specifications take longer; we’d rather take an hour more than miss something that costs everyone time later.

For most premium residential consultations across our service area, the visit is at our cost. For specific scenarios — very remote locations, light commercial, or repeat consultations after a project has stalled — we’ll discuss any visit fee honestly at first contact.

Most written proposals are with you within 5–7 business days. New builds, hydronic specifications and complex multi-system projects take longer because there’s more to think about; we’ll set the expectation at the consultation.

System type, brand and model, capacity calculation, zoning approach, installation method, expected timelines, warranty details, and itemised pricing. Where there are meaningful choices to make, we present the options with the trade-offs rather than collapsing everything into one figure.

Depends on the season and the scope. Replacements during peak winter or summer run longer lead times than off-season work. New builds are scheduled around the construction programme. We’ll give you a real timeline at quote — not a “we can probably get to it soon” answer.

For initial access and walk-through on day one, yes. After that, depends on the scope — most clients aren’t home during the working day. We can hold keys or use construction-site access for builds and renovations.

Real projects sometimes need real changes. We discuss it with you before we make it, explain the impact on programme and cost, and move forward once you’ve confirmed. No surprises on the final invoice.

Yes. Annual servicing is recommended for warranty conditions and long-term performance. We offer service plans across the systems we install, and we also service systems we didn’t install where the equipment is within our specification range.

You call us. We respond. If it’s a warranty issue, we manage it with the manufacturer. If it’s an installation issue, we fix it at our cost. The point of being the team that installed it is being the team that stands behind it.

Talk to Smart Climate

Start of a project, or thinking about it for a while — we’d be glad to start the conversation.

Step one is a 15-minute call. No pressure, no follow-up if it isn’t a fit. If it is, we’ll book a site consultation at a time that suits.
